Job Description:

Objective 1

Warehouse Management

Tasks & responsibilities

- Responsible to manage the Warehouse / Material as per procedures outlined in Kit Log 3.3

- Receive the deliveries by ensuring the quantity and quality of material as well documentary requirement .

- Dispatch the deliveries as per validated SRO by ensuring the quality and quantity of material. Also ensure the availability of standard documentation

- Responsible to make sure that all material received / dispatched will be traceable / track able through Reception Note / Delivery Note

- Keep the warehouse clean and in organized manners

- Follow the First Expire First Out (FEFO) for material with limited shelf life. Send regular alerts supervisor / relevant PM if shelf life is less than 3 months.

- Send alerts if level of stock reaches at minimum level, follow the remaining stock balance for critical material (especially medicine & nutrition supplies)

- Coordinate / share information with relevant department on stock management issues

- Responsible to store the material as per material requirement (temperature controlled / cold chain)

Objective 2

Cargo & Dispatch management

 

- Ensure correct preparation of deliveries

- Prepare all cargo and shipping documents (Delivery Note, etc) to be transported to the programmes / distributed to programs for use in the field.

- Ensure safe preparation and loading of cargo onto transportation vehicles

Objective 3

Accountability &Reporting

Tasks & responsibilities

- Responsible for taking all the measure to ensure the safety / security of ACF material in warehouse

- Ensure all validation before release of stock

- Responsible for updating all the related record and proper archiving this includes Bin Cards, Stock Cards, Delivery Notes, Reception Notes, SRO, Loss Reports, and Stock reports but not limited to that.

- Report any unusual activity in warehouse

- Prepare stock report / Stock Follow-up as per agreed frequency and transmit to relevant staff

- Report any loss / missing to supervisor in timely manners with justification

Objective 4

Other

Tasks & responsibilities

- Any other duty can be assigned by supervisor falling under the domain of supply chain management

- Replace the Procurement assistant during his / her absence

- Responsible to support the program teams in field on stock management issues

- Attend the department / base meetings where required

REPORTING RESPONSIBILITIES

- Stock Report / stock follow-up (monthly / weekly basis)

Skills Required:

SKILLS & EXPERIENCE
ESSENTIAL
- - Minimum two years of experience in management of stock / inventories
- Good understanding of the all logistics functions.
- Good understanding of cold chain/pharmacy and food store management
- Familiarity with humanitarian principles and methodologies.
- Organised and proactive
- Honesty, reliability, autonomy and sense of responsibility
- Very good knowledge of English
- Very good IT skills (Microsoft Office)
- Must be able to work independently & achieve given targets

PREFERRED
- Experience of working in Humanitarian organization
- Good diplomatic and negotiation skills
- Fluent in English (professional English).
- Good drafting and written skills.
- Specialization in Supply Chain Management would a Plus Point.

Qualification and experience:

  • Bachelor (Bachelor in Textile Engineering would be preferred)
